Calendar:
Accessing
Your Calendar
To view your
Calendar, click on the Calendar button
at the top of your Inbox or Addressbook. The Calendar will open
using the default view, which is set up under Options. The initial
default view is Month view.

To navigate to a
specific date in the current month
click on the number. To
view an earlier month or future months
click on the arrows located on either
side of the current month
displayed.

Calendar
Views
You can view
your calendar in a variety of views just select one of the tabs.

Click Day
view to see one day by hour
(or in 15 minute time increments
up to a hour under
Options).
Day (1) looks like this:

Work Week (5) looks like this.

Week (7)
looks like the Work Week,
except Saturday and Sunday are
added.
Month (31) looks like this:

Events:
Adding New
Event
To add a new
event to your calendar, click on
New Event
on your menu or the Icon on day

The Add Event window
appears. Complete all the necessary fields to document the details
of the event.
Be careful to specify the starting and ending
times of the event. You can assign each event to a Category for
convenient reference. When you are done entering all fields, click
on Save Event.

Setting Alarms
You can set
alarms that will notify you at a specified time prior to the start time of
the event. In the Add Event window (or in the Edit
Event window), set the alarm by clicking the radio button after Alarm,
and set the alarm time using Minutes, Hours, Days or Weeks prior to the
event. The sample shown below will display an alarm 15 minutes prior
to the event. You can add descriptions and invite attendees, such as when
setting up a study group. The
event can be set for any reoccurring
pattern.

The event on your calendar will have a
little bell next to the
title. If you mouse over the bell,
the alarm time will display.

Recurring Events
You can
easily set events to be recurring on a regular schedule. In the Add
Event window (or in the
Edit Event window), the
recurrence section provides you the opportunity to set the Pattern to be
Daily, Weekly, Monthly on same date, Monthly on same weekday, or Yearly.
You also will specify an ending date, using either No end date, or
choosing the final date. The sample below shows a Monday, Wednesday,
Friday class meeting every week until May 17, 2010.

When you set
a recurrence pattern, the event in your calendar will display with an
icon
with two circular arrows to designate that the event recurs.
Editing or
Deleting
Events
To edit an
existing event, click on the name of the
event in your calendar. The Event
window will display the details for the
event. To Delete the event, click
on the
Delete link found
at the top or bottom of the event window. To Edit the event
(change
dates, times, alarms, recurrence, etc.), click the
Edit link found at the top or bottom of
the event window. An editable window will appear in which you can
make the necessary changes. You will then click on
Save Event if you were making changes to
that event, or Save as New Event if
you wanted to create a new event using the original as a model.

Importing or
Exporting
Calendar
If you wish
to transfer calendar information from another existing account, you can
use the Import/ Export utility. Click on Import/Export button on the
top of your Calendar.

The Import/
Export window will appear.
To Import,
a calendar from another account into your Academic Mail account, use
Import.
Select the source to import from (Outlook,
vCard, Comma Separated Values),
specify whether the CSV format
includes a header row with field names,
and click on Browse to select the file which contains your calendar.
(NOTE:
you may have to export your calendar information from the other email
application to a file before doing the Import in this account.)
Click Import.
To Export, If you wish
to Export your calendar from this application to another at a later date,
use Export Calendar. Select the format that the other application
will prefer. Limit the time span for inclusion of calendar items.
Click Export.

Printing your Calendar
Certain views
are designed to be printable. When in one of these views, a Print icon
will appear in the top menu bar. Use this menu icon to print the current
view. If the Print icon does not appear, printing is not
available for the current view.

Options:
Setting Options
for your Calendar
You can
customize how you view your Calendar by setting Options. Click on
the Options icon at the top of your Calendar.

Category
Management
In the Options menu, click
on Category Management. You can add categories to classify your appointments. Click on
Create New Category, and give the new category a name. You can click
on the Color Picker to set the background color for appointments in each
category. Click on Save Options when done.

Date and Time
Options
In
the Options menu, click on
Date and Time Options.
Choose how you wish to display Dates. Click on
Save Options after making a change.

User Preferences
In the
Options menu, click on User Interface.
Set how you wish the following items to function.

Confirm
deletion of event: if you wish to get a pop-up asking whether you are sure
you wish to delete an event, check this box.

Select the
view to display after login, your default display.

If you wish
to see half-hour increments instead of full-hour increments in your daily
schedule, check this box.

Select the
first weekday, Sunday or Monday.

Select the
starting and ending time for your daily calendar.
-
If you wish
to continue to view the icons in your calendar view, make sure this box
remains checked.
