OUTLOOK: Preview your Incoming Mail from any
Application
No matter what you are working on, a preview of incoming messages will
appear in the bottom right-hand corner of your screen. You can see
the sender, subject and first few words of the email. You can choose
to open the email, flag it for follow up or delete it in the preview box.
This
message slowly fades and disappears if you take no action.
You can turn this off or adjust the settings for this feature by going to
the Tools menu, Options/ Preferences/ Email Options/ Advanced Email
Options. If you wish to turn this feature off, uncheck the
Display a New Mail Desktop Alert line. Click on Desktop Alert
Settings to adjust the timing and transparency of these desktop alerts.
OUTLOOK: The New Navigation Pane

You can customize your navigation pane, to display the buttons for the
items that you use regularly. You can also determine the order that
the buttons will appear.
To customize your Navigation Pane, go to Tools/
Options/ Other, and click the Navigation Options button.
Enter a check in the check box for those buttons you want to display.
Click on Move Up or Move Down to re-order the buttons. Click
OK when done.
You can also access the Navigation Pane Options window by clicking on the
little arrow at the bottom of the Navigation Pane in Outlook.
OUTLOOK: Arranging your Mail
in the Information Viewer

Arrange by:
Right click on the Arranged By: banner at the top of your Inbox to
arrange your inbox by Date, From, To, Subject, etc. On the
bottom of this drop-down list, you also have the ability to toggle
Sort by Group. If you remove this check then the groupings
disappear and you view a straight list sorted by the function that
you chose.
Arrange by Conversation
è
Outlook 2003 adds
the ability to sort by conversation. When you arrange by
Conversation, your email box will be arranged by subject, with all
emails concerning that subject grouped together. After you
arrange by conversation, click on the tiny down-arrow box to view all
emails related to a subject. Click on the up arrow to collapse
the group.

OUTLOOK: More about the
Reading Pane
To adjust the way in which the Reading Pane displays, click on View/
Reading Pane/ and choose Right, Bottom, or No Reading Pane. To
adjust the way in which messages will appear as read, go to Tools/
Options/ Other/ Reading Pane.
OUTLOOK:
View and manage multiple calendars
You
can establish more than one calendar and view them side by side in the
Information Viewer. Keep your work and personal calendars
separate. Define your calendars and mark them for viewing in the
Navigation Pane on the left.
Also, sharing calendar information with others is easier in Outlook
2003. If you are a delegate for another user's calendar, you
can click Open a Shared Calendar link to open the other user's
calendar. Notice how it will appear side by side with your own
calendar for easy viewing. You will continue to see these
Other Calendars on the left Navigation Pane; check or un-check the
box to view the other calendars.
If you have others who are delegates on your calendar, you can click
Share My Calendar to provide and adjust the permissions that you set
up for this user.

OUTLOOK: Set Follow Up Flags by
color/ category

Marking email
messages for follow-up is easier than ever.
You can quickly flag a message for follow-up by clicking
the flag icon next to the message.
And now you can assign different colored flags to each email
that you mark for follow-up.
NOTE: These flagged emails will show up organized by flag color
when you use the Search folder For Follow Up. See next topic.

More Info on Search Folders
There is a new feature called Search Folders. You can use Search
Folders to view email messages by category. Search folders are
virtual folders. The actual emails still reside in their
respective folder. The search folder provides a view of only
those messages that meet specified criteria. Outlook 2003 comes
to you with three pre-defined Search Folders:
For Follow Up, Large Mail, Unsent Mail.


You can create your own Search Folders as well!
Right-click on
Search Folders in the Outlook Bar.
Choose New Search Folder.
Specify the conditions for which you want the search to run.
You
can set it to search for words in a subject,
emails from a certain
person or distribution list, etc.
Follow the steps to create a new folder from the suggestions
that Outlook provides, or create a custom search folder.
Click OK when done.
With the new Search Folders, you may choose not to
create as many folders as you have in the past. Avoid
the day-to-day maintenance of moving emails to folders
when you can simply use a Search Folders to organize
your work and find files quickly.
OUTLOOK: Junk Email Options

The new Junk Email Filter examines your incoming email messages.
It reviews the message subject and body for indications that the
message is junk mail. You can make adjustments to the Junk Email
Filter by choosing Tools> Options> Junk Email Filter.
These items will be automatically routed to the Junk Email Folder
where you can review them at your leisure.
Keep in mind that the Pure Message Spam Filter used by the ITS
Department will also continue to block suspected Spam and send you
messages alerting you of these blocked emails. You may wish to
add PureMessage to your Blocked Senders list so that the emails from
PureMessage are also routed to the Junk Email Filter. In this
way you will have one folder to look at potential junk/ spam email.
You can add a sender to the safe or blocked list within this Junk
Email Options window, or you can do this directly from your inbox or
from within an email message. Click on the Actions menu, and
choose Junk Mail and then choose whether you with to add to the Safe
Senders, Safe Recipients or Blocked Senders list. NOTE: You
cannot block a sender who is on the CCAC Exchange List. This will
only work for external senders.
OUTLOOK: Downloading Pictures Security Settings
Outlook
2003 comes with new security settings for downloading pictures in
html emails. To protect your privacy, the security setting
default prevents the automatic download of pictures from the
internet. With this default setting, pictures will appear as
displayed in the email below. If you right-click on the red x,
the pictures will download. You can choose to trust a source
as you read your mail.
To change these settings, go to Tools/ Options/ Settings tab and click
on Change Automatic Download Settings.
OUTLOOK: View Attachments in the New Reading Layout

Since Microsoft Word 2003 now has a new feature called Reading Layout, all
attachments that you open in Outlook will display in the default Reading
Layout. The Reading Layout provides an easy-on-the-eyes layout so
you can skim documents. You should realize that the document will
not appear as it would if it were opened in other views in Word.
If you open an attachment in Reading Layout and wish to change to Print or
Normal View, click on the View Menu, and choose Print or Normal.

WORD: New Reading Layout
The new Reading Layout makes it easier to read documents on your computer
screen. This view hides the Standard and Formatting toolbars to
provide more viewing space. It also scales the document to pages
that fit neatly on the screen. Notice that a Document Map and
Thumbnail images are available on the toolbar for easy navigation
through the document. You can also highlight, review and make
comments in Reading Layout view. To view multiple pages, click the
Allow Multiple pages button on the toolbar. To switch to Print or
Normal Layout, click the Close button on the Reading Layout toolbar.
To switch to different views, go to View menu and choose the layout you
wish to view.

WORD: Protect Document Task Pane
Word 2003 provides a new task pane for setting both Formatting and Editing
restrictions to a document. You can protect the document so that
other users have limited capabilities to change formats or content.
To protect a document, choose Tools/ Protect Document to open the Protect
Document task pane. To limit changes to formatting, check Limit
formatting to a selection of styles. Then click on Settings to
enable or disable styles for other users.
To limit editing of content, check Allow only this type of editing in the
document, and choose the level of protection you desire. You can
make exceptions for certain individuals or for selected parts of the
document under Exceptions. To turn on protection, click on Yes,
Start Enforcing Protection. You may enter a password at this point
if you would like. (REMEMBER: if you assign a password and you
forget the password, your document will be forever locked and not
editable!!)
Excel New Features
EXCEL: New List Feature

The New List feature allows you to create a list from your series of data.
Click on any cell within your range of data. Click on Data/ List/
New List. The Create List window will display; you can edit the data
range if necessary. Click OK.
The data in your range will appear as below, with filters on every column.
The List Toolbar will also show for you to modify or manipulate your list.
NOTE: You can publish this list to the web for users to view and filter
your list.

Access New Features
Propagating Inherited
Properties
This
enables objects, such as forms, to inherit the properties of their
parent object. A parent object is an object on which various child
objects are based. If you make a change to a field in a
table, you can use the Propagation feature to update the field's format
in all the objects in which it is used.
Database Object Dependencies
You may
have various objects in a database related to each other. These
related objects are dependent on each other. You can now view all
the object dependencies before you change or delete an object in the
database. You can select an object, then choose View/ Object
Dependencies.
Checking for Errors in Forms
You can set Access to automatically check for errors in forms. When
you check for errors, the Trace Error button appears next to those
controls that have an error value. Access also provides options
for fixing the detected errors. You can click the Error Checking
Options button to correct or ignore the errors that are identified.
Office New Task Panes and Features
OFFICE: New Accessibility Features
Do you love keyboard shortcuts? You can decrease your reliance on
your mouse by using the additional keyboard shortcuts supplied by Office
2003. To see the additional keyboard shortcuts for Office 2003, go
to the Help Task Pane and click on Accessibility Hslp link at the bottom
of the task pane.
Want to print a list of all keyboard shortcuts in Word. In Word, hit
the function key F1, or go to the Help Task Pane. Enter "keyboard
shortcuts" in the search window and enter. Click on the Keyboard
Shortcuts list. Click on Show All link. Press Ctrl+P to
print these out.
OFFICE: Research Task Pane

The new
Research Task Pane puts a wealth of reference information at your
fingertips within Word, PowerPoint or Excel. You can search
for a word or phrase in:
Type in the
word or phrase (it will automatically display the word in your
document when you open the research task pane). Choose All Reference
Books, or choose any of the references available on the drop-down list;
click the green search arrow. Results of
your research will appear in the window.
NOTE: You can
configure which sites to use by clicking on Research options at the
bottom of the task pane. A
connection to the internet may be necessary for specific searches in the
Research task pane.

Getting Started Task Pane
The default task pane that displays
whenever you log on to any of the Office applications is the Getting
Started pane.
At the top, notice the new buttons for
Back, Forward and Home task pane. There are links to the
internet for online resources, as well as a search window for help
topics.
At the bottom, you'll see a list of
documents that you have been working on recently, as well as a link to
create a new document.
Help Task Pane

The new Help Task Pane in each application contains improved
assistance, including a Search Window for topical or key word search
and a link to the Table of Contents.
Click on the Assistance link under Office Online and you will be
connected to Microsoft's new help site online. Click here and
check it out.

BEFORE AND AFTER YOU UPGRADE!! SAVE MY SETTINGS
The only maintenance you should want to do prior to the Office 2003
upgrade is to save your Office XP Settings. Your Office settings, or
profile, are a group of settings that defines your Office program
preferences and options. These settings include the following: toolbar
modifications; menu modifications; settings in the Options
dialog box (Tools menu); default location for templates,
files, and clip art; default format for saving files; AutoCorrect lists;
custom dictionaries; Office shortcut bar customization; and templates.
- Quit any Office programs that are running.
- On the Start menu, point to All
Programs, point to Microsoft Office Tools,
and then click Save My Settings Wizard.
- Follow the instructions on the screen to use the wizard. Save
your settings to a folder on your F: drive.
- After Office is upgraded, repeat these steps to restore your
Office settings.
